Lexfill is operated by Eras Partners Inc (“Lexfill,” “we,” “us”). This policy explains what we collect and how we use it across lexfill.ai and the Lexfill application.

Firms and their clients

Our customers are law firms. When a firm uses Lexfill to collect information from its clients, the firm controls that data and we process it on the firm’s behalf. If you are a client of a firm that uses Lexfill, direct any questions or requests about your information to your firm — we act on their instructions.

What we collect

  • Account information — your name, email address, firm name, and sign-in credentials.
  • Case information— information and documents that firms and their clients submit through intake. Immigration filings can include sensitive details: government identifiers, immigration and travel history, financial information, medical information, and information about family members. We do not collect precise geolocation data or your device’s contact list.
  • Payment information — billing is handled by Stripe. We never store card numbers or bank details.
  • Usage data — log data such as IP address, browser type, and pages visited, plus analytics cookies on our marketing site.

How we use it

We use this information to provide the service — preparing forms, collecting documents, running AI-assisted review, sending service-related emails — and to handle billing, support, and security. We do not sell personal information, in exchange for money or anything else, and we do not use it for advertising. We also do not share or sell de-identified, anonymized, or pseudonymized data.

AI processing

Some features use AI models to review answers and draft documents. This processing happens under agreements with our AI providers, and your data is not used to train their models.

Sharing

We share information only with the service providers that run the platform, and with authorities when required by law. Those providers are:

  • Stripe — payment processing and billing.
  • Amazon Web Services — encrypted document storage.
  • Neon — database hosting.
  • Railway and Vercel — application hosting.
  • Resend — service email delivery.
  • Anthropic — AI review and drafting features.
  • PostHog and Vercel Analytics — usage analytics on our marketing site.

Each provider may use your data only to provide their service to us, under contracts that hold them to the commitments in this policy. No third party may use or disclose your information — including de-identified, anonymized, or pseudonymized data — for any other purpose without your active consent. We do not share data with marketers or data brokers.

Your sharing choices

You choose what to submit to Lexfill. Providing complete information helps your firm prepare accurate filings; the trade-off is that whatever you submit is stored with us and processed by the providers above. Some answers describe other people — immigration forms often ask about family members and family history. Information you share about them is handled the same way as your own, so submit it only when your filing requires it and you are authorized to share it.

Security and retention

Data is encrypted in transit and at rest, and access is restricted to personnel who need it to operate the service. We keep your data while your account is active. If your account is dormant for 24 months, we will email you and then delete the account and its data unless you ask us to keep it. When your account is closed or you request deletion, we permanently delete your data within 30 days, except where the law requires us to keep specific records longer.

If there is a data breach

If a breach affects your personal information, we will notify you by email without undue delay after we confirm it. The notice will explain what happened, what data was involved, and what steps you can take — such as changing your password.

Your rights

You can access, correct, or permanently delete your data at any time. To close your account or request deletion, email contact@lexfill.app from the address on your account. We complete verified deletion requests within 30 days. Clients of firms should contact their firm first; we will support the firm in fulfilling the request.

US state residents— if you live in California or another state with a privacy law (such as Virginia or Colorado), you additionally have the right to know what personal information we hold, to receive a copy of it, and to not be discriminated against for exercising these rights. We do not sell personal information or share it for cross-context behavioral advertising, so there is nothing to opt out of. You may use an authorized agent to submit a request. Our sites do not respond to “Do Not Track” signals.

Outside the US — Lexfill is offered in the United States, and we host and process all data there.

Children

Lexfill is not directed to children and we do not knowingly collect information directly from anyone under 13. Firms may enter information about minors only as part of legal representation.

If Lexfill changes ownership

If Eras Partners Inc is acquired, merges, or ends its business, your data stays protected by this policy. We will notify you before any transfer of ownership. The new owner must honor this policy; if their policies differ, we will first give you the chance to download your information or permanently delete it, and we will explain how to close your account.

Changes and contact

If we make material changes to this policy, we will email account holders a plain-language summary of what changed and ask you to actively accept the updated policy before you continue using Lexfill. Questions? Write to contact@lexfill.app.
